The Victorian government school first partnered with Toshiba in 2016 after looking for a more reliable and cost-effective print, copy and scan solution. Ten years later, that partnership continues to deliver the reliability, service and value the school was looking for.

The school has recently refreshed its Toshiba hardware for the third time under the same managed service agreement – demonstrating how the right print solution can keep schools equipped with the latest technology while maintaining a trusted partnership.

Choosing a solution built to last

Like many schools, Williamstown High School relies heavily on document management every day. Teaching resources, student records, assessment materials and administrative documents all need to be created, shared, stored and retrieved efficiently.

Before partnering with Toshiba, the school reviewed its existing print environment and found reliability had become a major concern.

"I had staff telling me that the old machines were impacting on what they could do with students," recalls Principal Gino Catalano. "Our teachers are very committed, and some were really emotional about the effect that this was having on their classes."

Following a competitive tender process, the school selected Toshiba to provide a managed print service across its two campuses, with multifunction devices located where staff needed them most and integrated scanning into the school's cloud storage environment.

More than just printing

While reliable printing was an immediate priority, the biggest long-term benefits came from improving the way the school managed information.

One of the first projects was digitising years of paper records and teaching resources. Teachers who had spent decades building classroom materials were able to preserve and share those resources with future generations of staff.

One retiring mathematics teacher spent his final term scanning years of carefully developed teaching material, ensuring that valuable knowledge would remain available long after his retirement.

The school also began reducing its reliance on physical document storage by digitising archives wherever regulations allowed. At the same time, students were able to build and store their own digital portfolios, creating records they could continue to access beyond their school years.

These improvements didn't simply solve an immediate problem. They created a foundation that has continued to support the school as technology and teaching practices have evolved.

A partnership that continues to deliver

Ten years is a long time in technology.

During that time, devices have become more capable, cloud platforms have become central to school operations and expectations around digital access have changed dramatically. Yet Williamstown High School has not needed to rethink its overall approach.

Instead, the school has continued to refresh its Toshiba hardware as part of its managed service agreement, ensuring it benefits from the latest technology while maintaining the workflows and support its staff have come to rely on. Each hardware refresh has introduced newer technology while preserving the continuity of the service, support and relationships the school already values.

An important part of that continuity has been the people behind the service. Throughout the partnership, Williamstown High School has continued to work with the same Toshiba Account Manager, Rob Colonnello. Having a familiar contact who understands the school's environment, priorities and history has created consistency and trust, ensuring advice and support evolve alongside the school's needs.

"Their attitude is that they're in this for the long haul and they want to ensure we're happy," said Gino when the partnership first began.

A decade later, that long-term approach continues to underpin the relationship.

The value of getting it right the first time

For many schools, replacing technology can feel disruptive. New systems require planning, staff training and changes to established ways of working.

That's why choosing the right solution from the outset is so important.
